Job Summary

The Housekeeping Administrative Assistant (HAA) supports the Housekeeping Department, Executive Housekeeper and other cleaning supervisors by providing administrative support for the department, including answering the phone and responding to inquiries, record keeping and billing. In addition to maintaining adequate supplies and inventories, the HAA also coordinates and inspects building areas and vans for proper cleaning and inventory of cleaning supplies and unit replacements.

 

Job Duties and Responsibilities

  • Provides administrative support such as answering phones and other inquiries in a timely and professional manner. 
  • Maintains a clean and safe environment for all employees at all times.
  • Inventories and orders cleaning supplies, linen stock for rooms, and rental unit replacements.
  • Tracks and issues cleaning supplies and equipment to staff. 
  • In conjunction with the Executive Housekeeper, works to maintain appropriate par levels while controlling department expenses.
  • Coordinates housekeeping billing in SMS as it relates to rental unit replacements and spring and fall cleaning.
  • Assists with recording and prioritizing work orders as reported by housekeepers into SMS system. 
  • Maintains an accurate record of all room audit reports in order to track and record staff performance related to cleanliness standards.
  • Inventories and logs all lost and found items and ensures timely turnover to security.
  • Works with the Property Management team to maintain proper inventory of owner owned property.
  • Assists management with bi-weekly payroll to ensure that employees are paid in an accurate and timely manner.
  • Assists in the closing of the Housekeeping office according to proper procedures and policies.
  • Informs supervisor or manager of issues of significance.
  • Other duties as assigned.

 

Job Specifications

Competencies:

  • Previous guest service experience.
  • Proficient in Microsoft Office to include Excel, Word, Outlook.  Prior experience with Springer Miller (SMS) a plus.
  • Ability to effectively present information in one-on-one to customers, clients, and other employees of the organization.
  • Clear and concise verbal communication skills.
  • Able to analyze, interpret and present data in various formats.
  • Ability to determine or interpret work procedures for workers, assigning specific duties, maintaining harmonious relations and promoting efficiency.
  • Able to work with computers, faxes, copiers, scanners and various other technologies in offices and on resort.
  • Perform quality work to standard, and complete the work within a specific timeframe.
  • Must be responsible and able to work independently with little supervision.
  • Must be able to follow instructions from supervisors and guests.
  • Must be able to check own work after the completion of the work assigned.
  • Exemplifies professional conduct and adherence to company Core Values.

Experience and Education:

  • Minimum High School Diploma or equivalent required.
  • Previous experience in hospitality, customer service or an administrative role preferred. 

Physical & Other Requirements:

  • While performing the duties of this Job, the employee is regularly required to stand; walk; use hands to finger, handle, or feel; stoop, kneel, crouch, or crawl and talk or hear.
  • The employee is frequently required to reach with hands and arms.
  • The employee is occasionally required to climb or balance.
  • The employee must regularly lift and /or move up to 25 pounds and occasionally lift and/or move up to 50 pounds. 
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
  • Evenings, weekends and holidays are a regular part of the schedule.
  • Must have excellent attendance and conduct record for consideration.
  • Must have unrestricted and insurable driving record.
  • Ability to work in extreme weather conditions.
  • Non-smoking candidates preferred.
