System Pavers is growing at a tremendous rate, and we are looking to expand our marketing team with a motivated Events Marketing Coordinator! In this position you will be an important part of setting up events and work as a direct liaison with our Field Marketing department.

 

Job Responsibilities:

 

Home Shows

  • Show Booking
  • Complete all show applications/contracts with accurate information
  • Provide all necessary documents as needed
  • Obtain insurance from Legal and provide to show producer
  • Fill out payment notification to provide Accounting
  • Provide W9 to accounting if you are working with a new show producer
  • Database Management o Maintain the Home Show List  Accurate budget month, dates, branch, cost, billing dates, booth placement
  • Show performance notes and recommendations on next year’s location or other improvements that can be made
  • Pull and record all leads, sweeps, appointments, and revenue, update in HS List
  • Research additional Shows as needed o New Market Show Research
  • Established Markets show research
  • Corporate Communication
  • Enter all Home shows into shared calendar department calendar
  • Branch Support o Send all show schedules to branches weekly
  • Update CRM system with active show IDs
  • Send ID’s and tablet codes weekly; include previous results for two previous years for reference
  • Deactivate ID’s from the previous week
  • Send Exhibitor Kits and move-in instructions for upcoming shows weekly for shows, minimum 2 weeks prior
  • Reconcile credit card statement weekly (Concur)

 

Field Marketing

  • Liaison between the Marketing department and the Field Marketing teams.
  • Liaison between Field Marketing Associate and SalesRabbit
  • Send advertising collateral to Field Marketing teams monthly

 

Outdoor Living Events

  • Event Details o Coordinate raffle prizes
  • Vendors (i.e. caterer, sound- if needed)
  • Look for and book applicable vendors
  • Coordinate needs with branches (i.e. menu, guest counts, set up, misc needs).
  • Exhibitors/ Outside Vendors
  • Search for & reach out to potential exhibitors/sponsors
  • Send and approve application & contract, obtain COIs and send for approval
  • Provide payment information to accounting
  • Send exhibitors set up instructions prior to event
  • Coordinate any needed paperwork with office business park associations (i.e. permits, insurance, etc.)
  • Assist with Branch Efforts o Coordinate any needed collateral (i.e. one-page invite) with graphics for artwork and send to appropriate person(s).
  • Ensure branch has everything they need for day of event
  • Send tablet login information for each event/office
  • Advertising o Ensure advertising efforts are completed for each channel and help as needed
  • Post event details on various event calendars

 

Collateral

  • Place new order as needed for event collateral
  • Events & Field Marketing- Banner stands, Canopies, Backdrops, tablecloths, pop up banners, sweepstakes banners, Canvasser doorhangers, Photo Books, event & neighborhood coupons
  • Providing all necessary collateral for any new markets
  • Email Vendors for quotes
  • Source new vendors as needed
  • Send vendor shipping quantities and addresses (if applicable)
  • Ship collateral items to branches (Welcome kits, Photo binders, etc.)
  • Upload files to vendor
  • invoice and provide to accounting.

 

Experience & Skills:  

 

  • Previous successful sales experience or a strong interest in kickstarting your sales career.
  • Comfortable using basic office programs and learning new technology.
  • Must have your driver’s license and be able to meet driving insurance guidelines.
  • Construction experience a plus.
