Administrative Assistant

 

Job Responsibilities:

 

Key Job Duties Include:

  • Support Utilities department employees in day to day operations
  • Coordinate Customer visits and Business Team visits for the mill which includes interfacing with Corporate
  • Training reports/tracking – My Learning administrator for department
  • Chemical and consumable management for the department including ordering and maintaining inventories
  • Write purchase requisitions and analyze issues with Purchase Orders  (i.e. non-payment)
  • Support Operations to include assisting with Microsoft applications, Employee Service Center issues, and payroll issues
  • Department administrator- for employee timekeeping system
  • Train new timekeepers on system
  • Ensure operations work time is entered correctly each week
  • Coordinate all technician moves and work hour changes with HR, including managing SC/FMLA approvals
  • Ensure proper staffing for the department
  • Support Safety systems for Department
  • Office supply and printer/copier management
  • Maintain record management for the department and up keep of systems
  • Lead engagement efforts for the department including coordination of celebrations
  • Coordinate shipping from the department including hazardous material shipping

 

Minimum Qualifications:

  • Skilled oral and written communications
  • Analytical/problem solving skills
  • Ability to interface with others on multiple levels
  • Self-directed with good time and project management skills
  • Takes initiative to find creative solutions
  • Proficient training skills
  • Proficient in Microsoft Word, Excel, PowerPoint and Access
  • Familiarity with Sharepoint and use of tool for document revision and management control or similar system
  • Respects Confidentiality

 

Preferred Qualifications:

  • Demonstrated ability to manage and coordinate multiple projects and deadlines
  • Working knowledge of some type of timekeeping system (i.e. Day Force)
  • Ability to analyze budgets
  • Balance directive communication while being tactful.
  • Strong organizational skills.
  • Strong interpersonal skills.
  • Strong written and communication skills
