Job Summary:
A leading Insurance Agency at PCF Insurance is hiring an Executive Assistant. The Executive Assistant will be supporting our Agency President. We would love to hire an experienced, ambitious candidate, who will have the opportunity to learn and grow.
Duties and Responsibilities:
- Assist in the maintenance of the office record and filing systems.
- Perform complex administrative duties including responding for the Agency President when he/she is unavailable, composing correspondence, and coordinating resources across corporate functions as needed.
- Assists with daily administrative duties including managing a calendar of appointments, coordinating, composing, and preparing correspondence, and arranging travel plans, itineraries and agendas and compiling documents for meetings.
- Handle sensitive and confidential information with discretion.
- Communicate effectively with internal and external stakeholders.
- Handle travel arrangements and logistics for Agency President.
- Perform general office tasks and support Executive team members as needed.
- Plans the organization of internal and external functions, including notification of meetings, food coordination, and travel coordination.
- Coordinates meetings and strategic activities
Qualifications:
- High school diploma or GED required; some college preferred.
- 3-5 years of related experience required or equivalent combination of education and experience.
- Excellent verbal and written communication skills
- Ability to write routine reports and correspondence
- Demonstrates attention to detail
- Strong business ethics in handling sensitive and confidential information
- Proficient in Microsoft Office Suite software
- Proficient in learning, maintaining and fully utilizing the boards online portal.
