We are hiring a Project Coordinator who will be responsible for a wide range of projects including building renovations, construction, procurement, and technology enhancements which integrate and support the daily operations and event use of our iconic venues.

You are looking to develop your project management skills while working with a dynamic team who care about what they do. The successful candidate has the ability to manage high volume of workloads and meet deadlines with the ability to prioritise.  You have demonstrated the ability to work effectively as an individual and as part of a team.

Reporting to the Senior Project Manager, Capital Planning and Projects, the Coordinator handles the logistics of the projects in-between the event activity and coordinates contractors, while ensuring projects are on budget, on schedule, and meet the scope and quality standards of  our venues and clients.

WHAT YOU WILL DO:

  • Assist the Project Manager in developing project management documents, including project budgets, schedules, scope statements, and business cases.
  • Schedule stakeholder meetings, document proceedings, take meeting minutes, and generate reports to track project progress.
  • Manage administrative tasks such as creating purchase orders, processing invoices, coordinating building access, procurement documentation, and compiling closing reports.
  • Maintain document control best practices.
  • Support the project team throughout all project phases, from planning to execution and closing.
  • Utilize software for updates, access requests, requisitions, purchase orders, and resource allocation.
  • Track project change orders and RFI’s.
  • Identify consultation resources, review drawings and diagrams, and prepare tender documentation for RFP process.
  • Assist in ensuring project safety standards and guidelines are met, collaborating with contractors and site reps as needed.
  • Report project risks, escalating issues when necessary.
  • Facilitate communication with team members and stakeholders throughout the project lifecycle.
  • Conduct meetings with project clients to assess needs, define project requirements, acceptance criteria, and timelines.

WHAT YOU WILL BRING:

  • Proven experience in project coordination or administrative support role, in a project environment.
  • Education in engineering, design, project management or business administration is an asset.
  • Proficiency in project management software (AutoCad) and MS Suite.
  • Experience utilizing different forms of technology and data entry.
  • A proven track record in, and commitment to supporting and working in, a busy team.
  • Accurate and thorough. High attention to detail and quality conscious, with the ability to multi-task, prioritize and manage expectations and tight deadlines.
  • Excellent communication (written and oral) and interpersonal skills. Confident in dealing with colleagues and contractors at all levels.
  • Efficient and well organized with a calm approach to work.
  • Friendly and personable – likes working as part of a team and a strong relationship builder.
  • Proactive and able to take the initiative when required to do so.
  • Demonstrated knowledge and experience working with health and safety regulations, including WorkSafeBC.
  • Experience working with tradespeople and construction professionals.
  • Certifications in a skilled trade is an asset; CAPM, PMP Designation and BOMA or IFMA.

 

The salary range for this position is $54,120 - $67,650.

  • Offers will be in line with PavCo’s internal pay equity and qualified candidate’s experience and education.
  • Salary discussion and overall compensation package will be presented during initial phone interviews.
