This role reports directly to leadership and will involve working closely with various brand teams, this role will be responsible for the office management processes and handling reception duties for a growing shared services office. We are looking for a self-driven individual to manage our reception area initiatively. You will act as the ‘face’ of our company and ensure visitors receive a heartwarming welcome and confident directional assistance. Duties and Responsibilities

Your responsibilities will include but will not be solely limited to:

Reception

  1. Welcoming and guiding visitors and clients courteously.
  2. Managing incoming calls and prioritizing messages.
  3. Upholding a positive organizational image during interactions.
  4. Ensuring a clean, organized, and inviting reception area.
  5. Handling inbound and outbound mail and packages.
  6. Accepting and tracking incoming shipments.
  7. Maintaining visitor logs and enforcing security procedures.
  8. Performing general clerical tasks like copying and filing.
  9. Creating and modifying documents using Microsoft Office (e.g., preparing meeting materials and taking minutes, typing forms, letters, reports, and memos). 

Office Management

  1. Ensuring smooth daily office operations for all teams.
  2. Managing office supplies, and reordering as required.
  3. Aiding in onboarding new employees and setting up workspaces.
  4. Maintaining and troubleshooting office equipment, and arranging repairs.
  5. Monitoring budgets, tracking expenses, and generating reports.
  6. Assisting in planning company events and workshops.
  7. Funneling facility maintenance delegating to the maintenance team and liaising with vendors. 
  8. Managing boardroom setups, providing meeting refreshments, and tidying up.
  9. Keeping the kitchen area clean and organized.
  10. Ordering and maintaining kitchen supplies.
