Job Description

Title:    PrimeServ Contract Administrator

Summary: Responsible for providing best-in-class sales and administrative support to PrimeServ.

Key Job Responsibilities:

Perform order entry per the division SAP Business One based on procedures and approvals/

Handling of customer inquiries externally and internally;

Quote preparation using MAN-ES MyPlace and internal terms and conditions, and editing of the project list.

Process customers’ Purchase Orders, communicate with Product Centers, MAN-ES Workshops and Field Service and confirm timeline & details to customer. Follow-up as required, including securing of commercial ancillary conditions. 

Summarizing orders, preparing jobs for invoicing

‘Update order status conveyed by Product Center to customer and MAN Canada consolidated order status report. 

Initiation of goods receipts, delivery and invoice processing as well as performing follow-up.

Investigate and resolve order discrepancies

Contribute to the order intake and invoice forecasting and sales planning process. 

Actively participate in establishing MAN-ES’ local business presence. 

Ensure complete compliance with MAN’s Company Code of Conduct. 

Provide information, maintain records, and carry-out all duties in an accurate, efficient and timely manner. 

To undertake such other tasks that may be reasonably required

Enhance the image and reputation of the company while supporting its commercial interests. 

Available to provide Emergency- 24/7 shift support for Spare parts orders. 

 

Required Education:

College Diploma in Office/Business Administration or corresponding minimum 3 years work experience

 

Preferred Experience:

Commercial experience, esp. regarding quotations to order processing and billing.

Familiarity with Marine Spare Parts, Workshop and Service sales

Physical Requirements: The majority of the time of this position requires operating in a typical office environment sitting at a desk and using telephones and personal computers.

Competencies:

Entrepreneurial mindset combined with a high degree of customer orientation.  

Excellent skills set required in communication, contract negotiation, terms and conditions design, legal implications of terms and conditions and project management at the most senior level. 

Strong networker, engaging, and well introduced to the local market and within MAN-ES. 

Sound interpersonal, presentation and intercultural skills and understanding.

Very good coordination and organization skills in a dynamic environment. 

Ability to uphold the highest ethical standards, high integrity.
