Security Deposit Specialist 

 

Job Purpose:    

To lead and provide support to the Security Deposits team. To contribute to the department’s efficiency by maintaining accuracy throughout claim files and working on behalf of the policyholder to resolve disputes and damage claims. Manage tasks and consistency across all files to ensure a correct financial total at the end of the placement.  The Security Deposit Specialist reports to the Security Deposit Supervisor. 
 

Key Responsibilities and Accountabilities: 

  • Maintain a daily tracking log of file assignments using ACT tasks.
  • Record detailed notes of verbal and written correspondence (documenting names/phone numbers of conversations held) in ACT database.
  • Maintain electronic and paper files to ensure status accuracy.
  • Continue to manage assigned deposit files following the requirements of the Security Deposit Specialist position, including but not limited to collecting security deposits from landlords, issuing deposit refunds and balance reductions as requested, assisting insured in disputing deductions with landlords and furniture vendors, auditing files, furniture damage collections from insureds, resolving billing issues and collecting back landlord overpayments.
  • Issue billing credits for adjuster overpayments and early housing move outs as needed based on adjuster requests.
  • Resolve or assist in resolving complex security deposit issues that requirement management involvement.
  • Provide accurate and consistent reporting to Manager of file issues (including overdue collections and outstanding security deposits), customer complaints and team disciplinary concerns.
  • Identify and execute training opportunities and assist with the development of the department.
  • Update the Training Manual as needed.
  • Maintain tracking logs of security deposit team issues (i.e. Furniture Damages Spreadsheet, Collections, Audits etc).
  • Train, develop and supervise a skilled deposit specialist and deposit assistant team dedicated to customer service and problem solving.
  • Evaluate employee performance and schedule timely performance reviews with employees. Assist Deposit Specialists and Assistants with setting employee goals and objectives
  • Assist with coverage for on call weekend phones, alternating weekends
  • Not limited to above, assists when necessary on the day to day security deposit process.
  • Approve employee time records and requested time off in Dayforce. Coordinate coverage for unexpected absences.
  • Facilitate open communications between the Security Deposit team and provide feedback to the Customer Care Assistant Manager and Department Manager
  • Other duties as assigned to assist with the success of the Customer Care Department and ALE Solutions.

 

Characteristics and Qualities: 

  • High integrity, intelligent, customer focused, self driven, results orientated, positive attitude, strong communication skills (oral and written), mature, critical thinker, creative, reliable, problem solver, strong business acumen, team player, disciplined, motivator, and dedicated.
  • At least two years of customer service, housing or insurance industry experience.
  • College degree preferred.
  • Proficient in Microsoft Office Products.
  • ACT database experience a plus.
  • Must have excellent written and verbal communication skills.
  • Able to communicate clearly, concisely, and confidently.
  • Exhibits strong customer service skills. 
  • Demonstrate proven leadership skills.
