The Washington, DC office of Finnegan, Henderson, Farabow, Garrett & Dunner, LLP, one of the world’s leading and largest intellectual property law firms, is seeking an Legal Talent Assistant. The Legal Talent Assistant is responsible for providing general administrative support to the Recruitment and Professional Development department on a range of projects, activities, and process improvement initiatives in accordance with established department and firm policies and procedures.

Recruiting

  • Assists with recruiting activities, including greeting candidates, creating applicant files, communicating as necessary with all interview participants, administering the background check/employment verification process, and preparing offer/rejection letters and statistical reports using ViRecruit.
  • Effectively codes and inputs resumes into the resume tracking database; creates and distributes recruiting status reports as needed
  • Assists with interview schedules for candidates, including, scheduling of on-campus interview dates and providing necessary materials to law schools.
  • On Campus Interviewing (OCI) registration and set up
  • Set up recruiting outreach events
  • Assist in setting up and attending summer associate events
  • Work with vendors and caterers to handle internal and external event logistics

Professional Development

  • ’Data Management: develop and run reports for surveys, RFPs, other data requests as needed
  • Supports PD Team and Chief  with the compilation of evaluation information for practice group leaders and other members of firm management during Spring/Fall evaluation cycles, Senior Special Review and Partnership Admission/Evaluation Review processes, as needed
  • Enter feedback into evaluation database. Send reminders for evaluation deadlines. Develop talking points for review meetings.
  • Conducts periodic audits of attorney-type date in appropriate database to ensure that it is up-to-date
  • Responsible for PD Center/LMS management: set up programs, zoom links, conference room reservations, attendance tracking, reports
  • Update department pages on intranet
  • Help coordinators and managers with CLE processing

 

General Department Support and Administration

  • Acts as first point of contact for the department by answering and screening incoming inquiries. Reviews and takes appropriate action on correspondence, emails, and faxes, etc. Refers more complex questions to appropriate senior-level RPD staff or management.
  • Assists with the planning and execution of on-site and off-site events as needed, including scheduling, compiling program materials, conference room reservations, and catering logistics
  • Assists with the design and implementation of the summer associate program components, including pre-employment communications, orientation, trainings, educational programs, social events and evaluation process
  • Participates in summer associate, and attorney events as requested
  • Accurately schedules conference rooms and meetings (including catering requests), prioritizing conflicting or last-minute requests using the firm’s electronic conference room scheduling system or other meeting platforms (including MS Teams or Zoom)
  • Participates and completes assigned core, technological and firm sponsored trainings as required or needed to maintain or advance skills
  • Assumes progressive responsibilities within assigned work and embraces new processes and incorporates new technology to meet demands as they evolve
  • Works collaboratively with Recruitment & Professional Development staff to support other functional areas, special projects, and general department administration
