To assist the General Manager in carrying out reporting, project coordinating, training, HR, WCB reporting and office coordination for the Epic Commercial office.

 

KEY RESPONSIBILITIES:

 

General Administration Support
  • Answering and directing phone calls

  • Receiving and sorting mail

  • Responding to emails in the general email box

  • Managing the office space and janitorial work being done

  • Supporting Accounting in the main office for A/P and A/R needs and invoicing projects

  • Tracking inventory in warehouse

     

MS – Dynamics: Project and service coordination
  • Receiving intakes and creating opportunities / work orders on dynamics

  • Contract administration: Creating and issuing contracts, collecting deposits

  • Project on boarding

  • Assisting the team with in progress administration such as creating purchase orders, supplies

  • Estimating and creating reports

  • Scheduling jobs

  • Updating Xactimate

  • Returning emails and phone calls to Clients

  • Coordinating meetings/appointments for estimating

  • New Subcontractor on boarding process

  • Invoicing and project close out

  • An asset to have an accounting experience for invoicing and other accounting tasks to interface with accounting dept.

 

HR administration
  • Supporting the main office with review process

  • Liaison between Epic’s Head office and Epic Commercial office on HR related issues

     

WCB and Safety Administration
  • Coordinating the work injury response process

  • Keeping accurate files for sub-contractors

  • Liaison with the safety team/committee on any safety related matters.

     

SKILLS AND EDUCATIONAL REQUIREMENTS:

 

  • Post-secondary diploma in office administration or equivalent combination of education and experience

  • Experience in legal, HR systems an asset

  • MS Dynamics experience necessary

  • Experience preparing agendas, minutes, letters, and memos accurately and error free

  • High level of expertise in all areas of modern office practices and procedures

  • Ability to effectively prioritize workflow

  • Strong listening skills

  • Personal work ethic and integrity

  • Self-motivated

  • Excellent communication skills

  • Experience in project coordination in the Exteriors industry

  • Excellent Skillset in interpersonal relationships

  • Attention to detail

  • Problem solving

  • High Tolerance to stress

  • Ability to work independently and as part of a team

  • Displays a genuine appreciation for protocols, discretion, and professionalism, and can accept and assume responsibility and maintain confidentiality

  • Flexible in terms of hours or work (early or late meetings etc.)

  • Strong basic computer skills (proficient in Microsoft Office Suite, especially Word, Outlook, and Excel)

                        

    MINIMUM PHYSICAL REQUIREMENTS:

    This position is conducted in an office setting. Applicant must be able to sit for extended periods of time. Also, can bend, reach, and lift supplies that may weigh up to 30lbs.

     

  • Sitting for extended periods of time and extended phone use

  • Focusing on computer monitors for extended periods of time

  • Ergonomically correct body position

  • Typing including hand dexterity

  • Mobile with good overall body movement
