ROLE SUMMARY

We are seeking an Executive Assistant to join our growing organization and provide high-level administrative support to our COO and CCO. The ideal candidate is a self-starter who possesses excellent communication and organizational skills. A calm, composed, professional attitude is essential. This individual will perform day-to-day administrative duties and will communicate with cross-functional executives and senior management acting as an ambassador for the COO and CCO.

 

As the ultimate team player, the Executive Assistant must have the ability to address challenges and situations with ease. To be successful in this role, you should be proactive, meet deadlines, communicate effectively, and be able to address the needs of top-level executives to ensure our company’s workflow runs smoothly. The candidate must have at least 5 years of experience as an Executive Assistant to a senior level or “C” level Executive.
 

ESSENTIAL JOB DUTIES

  • Anticipate and assist the professional needs of the COO and CCO
  • Manage and prioritize all calendar appointments and meetings
  • Coordinate internal and external meetings, including but not limited to: (in-person and virtual) team meetings, full staff meetings, all-hands meetings, off-site meetings, one-on-one meetings, board meetings, etc.
  • Prioritize and flag correspondence for the COO and CCO
  • Communicate daily activities, changes, and issues in a timely fashion
  • Reply to or Send communications on behalf of COO and CCO as needed
  • Coordinate and book domestic travel arrangements including flights, ground transportation, dining, and accommodations
  • Prepare Travel & Expense reports, reconcile corporate card expenses, and uphold company T&E policies
  • Plan and execute small and large (10-350 people) company events and meetings, including annual company conferences
  • Procure facilities, manage logistics, and arrange food & beverage needs for office and offsite meetings
  • Lead and/or support a variety of projects including admin/support related to key initiatives, editing presentations, taking and distributing notes, and meeting follow up
  • Maintain an extremely high level of confidentiality regarding sensitive company information

EDUCATION, SKILLS & QUALIFICATIONS

  • 5+ years of work experience in the capacity of an Executive Assistant to a senior level or “C” level Executive
  • Bachelor’s degree preferred
  • Driver’s license and reliable mode of transportation required
  • Excellent organizational skills with an ability to juggle numerous projects and prioritize work
  • Excellent written and verbal communication skills
  • Must be a collaborative team player with great initiative
  • Exceptional customer service and interpersonal communication skills
  • Ability to build relationships with individuals with diverse personalities and styles and at different levels of seniority
  • Proficiency in Microsoft suite required: Word, PowerPoint and Outlook
  • Some weekend and evening work required
  • Schedule may change based on the needs of the executive team
  • Must be able to work in a stationary position, move and walk around event and office spaces, and lift occasionally up to 25 lbs.

COMPENSATION

  • $60,000-$70,000 annual salary
  • Up to 10% bonus
