Responsibilities: 

 

  • Manages high volume incoming calls, address inquiries, and routes them to the appropriate department. 
  • Extend a warm welcome to clients, applicants, and guests, ascertain the purpose of their visit, and guide or accompany them to their designated areas while maintaining an updated visitor log. 
  • Manage the distribution of paychecks, incoming mail, and packages, as well as coordinate outgoing mail and package shipments, including scheduling FedEx pickups. 
  • Execute various administrative tasks such as filing documents, faxing, scanning, and photocopying materials. 
  • Prepare a range of correspondence, both internal communications among staff and external messages to clients and customers. 
  • Facilitate the creation of staff identification cards and maintain fingerprint records. 
  • Coordinate the procurement and replenishment of office supplies to ensure smooth operations. 

 

Qualifications: 

 

  • 1-2 years of experience in front desk or receptionist operations.  
  • Proficient computer skills; particularly in Microsoft Outlook, Word, and Excel. 
  • Ability to work independently within dynamic and fast-paced settings. Strong multitasking capabilities. 
  • Exceptional communication skills, coupled with a strong focus on customer service. 
  • Demonstrated adeptness in organizational abilities and task prioritization. 
  • Engages in a proactive and hands-on approach to tasks. 
  • Availability to work varied shifts, including weekends and holidays, as required.
