POSITION SUMMARY

The Facilities Support Intern will work primarily to support the Associate Director of Facilities and the entire Facilities Department on various administrative projects delivering facilities services and assistance to Eden Housing sites. In addition, this individual will have the opportunity to take part in the design and delivery of facilities services and facilities management solutions, thereby expanding their own technical knowledge and service delivery experience. Customer satisfaction will be the top priority. In this role excellent administrative skills, creativity, excellent interpersonal skills, ability to communicate clearly, and attention to detail is valued.


ESSENTIAL DUTIES AND RESPONSIBILITIES

Facilities Project and Service Support:

  • Support the AD of Facilities administratively.
  • Support the Facilities Department in reaching its short-term and long-term goals.
  • Conduct research on digital solutions including translation of hard closeout binders and maps into digital copies.
  • Provide support in Senate Bill 471 Mandatory Decks and Landing Inspection Program, including researching and establishing reporting protocols, identifying subject matter expert vendors, and developing a schedule for decks and landings inspection for all qualifying Eden sites.
  • Provide assistance in the consolidation of files and creation of file path in Eden’s Interdepartmental shared drive.
  • Provide assistance in the consolidation of files and creation of file path in Eden’s O&M video recordings.
  • Assist the AD of Facilities in developing Universal Site Inspection Protocols that incorporates pre-agency, safety and building condition inspections in one inspection event.
  • When necessary, escalate support and project issue to facilities staff to determine an appropriate course of action.
  • On an as needed basis, serve and support Eden’s Central Office Administrative Team.
  • Other projects and tasks as assigned.
  • Actively participate in our culture of inclusivity.
  • Must have access to reliable transportation to travel during the business day to Eden properties, training sites and retail stores.


SUPERVISORY RESPONSIBILITIES

This position has no supervisory responsibilities.


EDUCATION and/or EXPERIENCE

 

  • Coursework in facilities management, construction, architecture, engineering or related technical field, or equivalent experience preferred.
  • Ability to work independently.
  • Ability to collaborate.
  • Knowledge in the most current versions of Windows, Exchange, SharePoint, Adobe is required.
  • Excellent Administrative skills


PREFERRED SKILLS and/or ABILITIES

  • Basic knowledge of facilities management theory, construction management, or facilities service delivery preferred.
  • Understanding of Microsoft Office Suite, Adobe, experience with CMMS and digital scheduling solutions.
  • Professional, customer-service oriented attitude and demeanor.
  • Ability to work productively, autonomously and under limited supervision. Capacity to work well independently and as a collaborative team member.
  • Ability to work well under pressure and successfully meet deadlines.
  • Strong interpersonal and communication skills (written and oral).
  • Effective and creative problem-solver with strong initiative and excellent follow-through.
  • Familiarity with standard office equipment and machines (fax machines, copy machines, postage machines, etc.).
  • Strong commitment to the companies’ mission and goals.


CERTIFICATES, LICENSES, REGISTRATIONS

Reliable transportation is required.


LANGUAGE, MATH & REASONING SKILLS

Ability to read and comprehend written instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one situations to customers, clients, and other employees of the organization. Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

 

 

PHYSICAL DEMANDS

Specific vision abilities required by this job include close vision and ability to adjust focus. Physical demands include writing/typing, use of computer and paper files, answering phones, attending meetings.
